Who we are
Roxby is provided by PortalSix, LLC, a Maryland limited liability company. In this notice, “we,” “us,” and “our” refer to PortalSix, LLC.
Scope
This notice explains how we handle personal information on roxby.app, including the waitlist, Help Center search, and email correspondence. The public website does not provide customer accounts and does not receive financial or property records.
Information we collect
When you join the waitlist, we collect your email address. We also record the submission time, the consent notice version, your waitlist membership status, a request identifier used to prevent duplicate processing, delivery status, and limited first-party campaign fields selected from a fixed list.
When you search the Help Center, we process the words you enter to return relevant published articles. We do not add Help Center searches to your waitlist record or use them for growth analytics.
When you email us, we receive your email address, message, and the standard email headers needed to deliver and respond to the message.
Cloudflare processes network information, which can include an IP address and request headers, to deliver and protect the website. The Roxby waitlist database does not store your IP address, browser user agent, Help Center searches, or customer financial data.
How we use information
We use waitlist information to record your request, deliver it to our email provider, send the welcome message, product updates, and launch-availability email you requested, prevent duplicate submissions, and understand which first-party pages or campaigns led to a signup.
We use Help Center searches to answer the search request. We use correspondence to answer questions, handle privacy or legal requests, and maintain business records related to those requests.
We do not sell personal information. We do not use ad pixels, cross-site identifiers, fingerprinting, or session replay on the public website.
Service providers
Cloudflare provides website delivery, security, server-side request processing, the waitlist database, Help Center search, and email routing. HubSpot maintains the delivered waitlist contact, sends the requested waitlist email, and enforces unsubscribe and suppression controls for email sent through HubSpot. Google provides the Gmail inboxes that receive correspondence sent to our published email addresses. The subprocessors and service providers page lists their roles and links to their privacy information.
Retention
We keep an active waitlist record while the waitlist program remains active and we need the record to administer your request. HubSpot retains the delivered contact and email subscription under our HubSpot account settings and its service terms. If you unsubscribe from HubSpot email, HubSpot keeps the suppression information needed to honor that choice. We may retain consent and delivery records needed to demonstrate and administer your request or meet legal obligations. We delete or de-identify campaign attribution when we no longer need it.
We keep correspondence for as long as needed to answer the message, maintain a record of the request, resolve a dispute, or meet a legal obligation. We review the waitlist and correspondence retention rules at least once each year and when the waitlist program ends.
Your choices and requests
You can unsubscribe from HubSpot-sent product email through the link in any such message or by emailing privacy@roxby.app. HubSpot applies that unsubscribe or suppression to future email governed by the same subscription. You may also ask us to access, correct, or delete personal information associated with your email address. Applicable law may provide additional rights or allow us to retain limited information for legal or security reasons.
We may ask you to confirm control of the email address before we act on a request. We will not ask for a password, API token, financial record, or government identification unless the law requires additional verification and we explain why.
Security
We limit the public website to website-owned systems and do not connect it to customer accounts or financial data. We use same-origin requests, bounded request bodies, server-side validation, rate limiting, restricted publication inputs, and an authenticated server-to-server delivery path. No internet service can guarantee absolute security.
Children
The website and waitlist are intended for adults. Do not submit personal information for a child.
Changes to this notice
We will publish a new version at a new permanent version URL when we make a material change. The current privacy route will identify the version and effective date that apply.
