STR accounting glossary
Accounting terms for your rental records.
Plain-language explanations of bookkeeping and tax concepts. Review tax treatment with a qualified professional; definitions do not establish eligibility.
#
1099-K Gross Reporting
An information return reporting payment transactions; reported gross amounts can differ from bank deposits.
Reconcile platform reports, fees, refunds, tax components and timing differences before drawing a tax-return conclusion. A Form 1099-K is an information return, not a calculation of taxable profit. Consult the issuer about errors and your accountant about return treatment.
1099-NEC Contractor Reporting
An information return for certain nonemployee compensation; thresholds and exceptions depend on the payment year, recipient, and payment method.
The payment year matters. Recipient type, payment method, backup withholding and other exceptions affect reporting. Review current IRS instructions and obtain appropriate contractor documentation; a payment amount alone does not determine whether a return is required.
7-Day Rule (Treasury Reg § 1.469-1T(e)(3)(ii)(A))
An average-customer-use exception within the passive-activity rental rules.
An average period of customer use of seven days or less can exclude an activity from the rental-activity definition for Section 469. It does not by itself establish material participation, deductible losses, Schedule C reporting or self-employment tax treatment.
14-Day Masters Rule (IRC § 280A(g))
A limited rental-income exclusion for certain homes used as a residence.
Section 280A(g) concerns a dwelling used as a residence and rented for fewer than 15 days during the year. Confirm the residence-use conditions and related expense treatment before relying on the exclusion.
A
Audit Defense Trail (Information Document Request)
Records that support review of transactions and reporting positions.
Source statements, invoices, receipts and reconciliations can help explain an amount. Sufficiency, retention and substantiation requirements depend on the issue. Keeping these records does not guarantee acceptance in an examination.
Adjusting Journal Entry (AJE)
An entry that corrects or updates the ledger under the applicable accounting basis.
An adjustment may reclassify an amount or record an approved period adjustment. Retain the reason and evidence and follow the authorized correction process. A journal entry does not silently alter the original source file.
B
Bonus Depreciation (IRC § 168(k))
An additional first-year depreciation allowance for eligible property.
Current guidance provides a 100% allowance for qualifying property acquired and placed in service after January 19, 2025, subject to conditions and elections. Older property and transition choices require separate analysis. The former blanket 2026 phase-down is not an adequate eligibility rule.
Bank Reconciliation Discrepancy
A difference requiring explanation when comparing book cash with a bank statement.
Investigate timing, outstanding items, omitted fees and duplicate entries. Identify the source and period of each difference rather than forcing the balance to zero with an unsupported adjustment.
C
Cost Segregation Study
An analysis that identifies property components and their applicable tax classifications.
A qualified study evaluates costs, asset use, classes and recovery periods. A website’s allocation percentages are illustrative inputs, not an IRS-approved allocation or a substitute for a study. Keep book schedules and tax elections separate.
Chart of Accounts (COA)
The account structure used to organize a general ledger.
A rental chart can separate gross receipts, fees, expenses, clearing balances and liabilities. Choose accounts and property dimensions appropriate to the records and reporting basis; account numbers in examples are illustrative.
Capital Improvement vs. Deductible Repair
The distinction between costs that require capitalization and costs that may receive current expense treatment.
The tangible-property rules consider betterment, restoration and adaptation of the relevant unit of property, along with applicable exceptions and elections. Cost alone does not classify an acquisition or repair.
Close Receipt & Period Locking
A versioned record of a completed monthly close that restricts ordinary posting changes and records authorized reopening and correction history.
When a monthly close is completed, Roxby generates a Close Receipt recording balances, report totals, unresolved acknowledgments, and source states. The period rejects ordinary posting changes; authorized corrections use reopening and a revised close version.
Channel Manager
Software component that synchronizes listing calendars, rates, and availability across multiple distribution channels (Airbnb, Vrbo, Booking.com, Direct).
Channel managers coordinate listing calendars across OTAs. Accounting workflows must review each supported source's payout cadence, available fee components, and tax-remittance information.
Co-Hosting Agreement & Split
An agreement defining a co-host’s work and payment terms.
Specify whether compensation uses gross receipts, net payouts or another base, and how cleaning charges, refunds and fees affect it. Payment routing does not alone determine income reporting. Review contractor-reporting obligations for the payment year; the general threshold for covered 2026 payments is $2,000.
D
De Minimis Safe Harbor Election
An elective tangible-property safe harbor with conditions beyond an item’s acquisition cost.
The no-AFS ceiling is $2,500 per invoice or item substantiated by invoice. Eligibility also depends on the applicable accounting policy, book expensing, timely annual election and other conditions. A larger cost can still be deductible under ordinary repair or supply rules.
Double-Entry Bookkeeping
A recording method using equal total debits and credits for each entry.
Balanced entries preserve the accounting equation. They do not by themselves prove that a transaction is complete, correctly classified, supported, or recorded in the correct period. Reconciliation and source review address those separate questions.
Direct Booking Engine
Software that lets guests book directly through the operator’s site.
Compare payment processing, software, marketing, support and chargeback costs alongside channel fees. Confirm local collection and filing requirements and any provider role. Direct booking is not automatically cheaper or free of platform costs.
E
Escrow Allocation (Mortgage PITI)
Separating loan and escrow components from a mortgage payment.
Use lender records to distinguish principal, interest, escrow transfers and disbursements. Principal and escrow movement are different from an expense. Tax deductibility and timing require separate review.
F
Form 1040 Schedule E
The federal tax schedule for certain rental real estate, royalty and other supplemental income and losses.
For the published 2025 form, rental receipts appear on Line 3 and management fees on Line 11. Classification, expense eligibility, personal use and loss limitations require separate review. Use the form and instructions for the year being filed.
Form 1040 Schedule C
The federal schedule used to report profit or loss from a sole-proprietor business.
Short stays alone do not establish Schedule C reporting or self-employment tax. Services provided, the business facts and other rules affect classification. Keep the passive-activity analysis separate and review both with your accountant.
Form 4562 Depreciation & Amortization
A federal form for depreciation, amortization and certain property elections.
Use the applicable year’s instructions and approved asset records. Eligibility, methods, conventions, business use and elections must be established separately from an illustrative bookkeeping entry.
Form 8825 (Partnership Rental Real Estate)
A federal form used by certain partnerships and S corporations to report rental real estate income and expenses.
Entity tax classification determines the filing requirements; an LLC label alone does not. Review the applicable return, property details and expense treatment with the preparer.
G
Gross Booking Revenue
Booking revenue before the deductions and adjustments identified in the source record.
Define the metric explicitly, including the treatment of cleaning charges, taxes and refunds. Financial reporting and platform analytics may use different definitions. Reconcile rather than treating an operating metric as a tax-return amount.
Guest Cleaning Fee Reimbursement
A guest cleaning charge, distinct from the operator’s cleaning expense.
Record available guest-charge and cleaner-payment evidence separately. The two amounts need not match, and a charge labeled reimbursement does not establish tax treatment. Review expense classification and contractor reporting for the relevant year.
H
Host Platform Commission (Channel Fee)
A fee charged by a booking channel or payment provider.
Use the applicable contract and statement to identify host fees, guest fees and processing costs. Rates vary by plan and market. Preserve gross and fee components for accountant review instead of inferring them from a bank description.
M
Material Participation (7 IRS Tests)
Tests of a taxpayer’s involvement in an activity under the passive-activity rules.
Different tests consider time and the nature of participation. Keep records of the work, dates and participants and evaluate the applicable test with your tax adviser. Passing a participation test does not remove every basis, at-risk, personal-use or loss limitation.
Merchant Clearing Account
An account used to track amounts between payment records and settlement.
Match supported payout components and bank settlements using the selected accounting basis and period. Investigate remaining balances; settlement timing varies by platform, payment rail and transaction.
Master Lease (Rental Arbitrage)
An arrangement in which an operator leases property and rents it to guests, subject to permission and local rules.
Keep the lease, operating expenses and purchased-asset records distinct. Ownership, use and tax classification affect deductions and depreciation. Do not assume every furnishing qualifies for immediate expensing.
P
Passive Activity Loss (PAL) Limitations
Rules that can limit the current deduction of losses from passive activities.
Passive income, disposition rules and exceptions can change the result. Keep suspended losses and supporting records by activity and consult the applicable year’s guidance; a rental loss does not automatically offset wages or investment income.
Pass-Through Lodging Taxes
Amounts collected for a taxing authority rather than retained as the operator’s earnings.
Whether a tax is imposed on a guest or operator, and how a passed-on amount enters the tax base, depends on local rules. Preserve source components and review the appropriate book and tax presentation; a platform label is not sufficient evidence.
Piercing the Corporate Veil (Commingling)
A legal doctrine under which a court may disregard an entity’s separate liability status.
The standards vary by jurisdiction and facts. Separate records and accounts can support entity administration, but bookkeeping software does not establish liability protection. Seek legal advice about entity arrangements.
Payout Decomposition
Separating the available components of a platform payout for bookkeeping review.
Identify rent, fees, refunds, taxes and adjustments from the actual statement. Components and reporting definitions vary by source. Reconcile the resulting amount with the deposit and document differences rather than assuming one universal formula.
Pass-Through Tax Liability Account
A liability used when collected tax is owed to an authority.
For that fact pattern, payment reduces the liability and cash. Other tax arrangements can differ, including taxes imposed on the operator. Confirm local rules and platform collection evidence before applying this entry.
Property Management Software (PMS)
Property-management software for booking and rental operations.
Products vary: some include accounting modules, expense tracking, owner statements or integrations with a ledger. Compare the named product and plan rather than assuming all PMS tools have the same accounting limitations.
R
Real Estate Professional Status (REPS)
Real-estate-professional qualification under the passive-activity rules.
Qualification and material participation are separate questions. Review the taxpayer’s services, time records, activities and any grouping election with a tax professional. A title or license alone does not establish the tax result.
S
Substantial Services (IRC § 1402)
Services provided with a rental that can affect income-reporting and self-employment tax treatment.
Evaluate the nature and extent of guest services under the applicable rules. Routine property maintenance and services primarily for guest convenience require different analysis. Do not infer a tax classification from a marketing label such as vacation rental.
Section 179 Expense Deduction
An election to expense qualifying property, subject to annual limits and other conditions.
Applicable dollar limits, investment phase-outs, taxable-income limits and property eligibility depend on the tax year and facts. Consult the current Form 4562 instructions rather than applying a single evergreen threshold to rental purchases.
Source Provenance & Lineage
The review trail linking supported posted entries to their available source records, such as bank activity, receipt images, and OTA statement lines.
Source provenance links supported imported records and attached evidence to the entries derived from them, retaining available timestamps and transformation history for review.
T
Transient Occupancy Tax (TOT)
A lodging-related tax whose scope depends on the jurisdiction.
Tax types, stay definitions, bases, rates, registration and filing requirements vary. Confirm the property address and applicable date with state and local agencies, and verify exactly what a platform collects. Use the state directory as a starting point for official sources.
U
Unit-Level (Door-by-Door) P&L
Income and expenses reported for an included rental property under a stated accounting basis.
Define the property scope, period and expense allocations. Profit, cash flow, debt service and booking metrics are different measures. Review supporting records and limitations before comparing properties.
Clean STR bookkeeping
Close your books without the translation manual.
Roxby separates available components from supported official Airbnb and Vrbo payout statements and presents them for bookkeeping review.
